Privacy policy

UCP TAAKRA is run by the University of Central Punjab. This policy explains what we collect when you browse the site, create an account, register for TAAKRA or pay a fee, and what we do with it.

01What we collect

Browsing the public site doesn't need an account, and we don't run analytics or advertising trackers. The sign-in and sign-up pages use Google reCAPTCHA to block bots.

When you create an account or add someone to your roster, we collect:

Full name, email address and phone number
CNIC number (or B-Form number for under-18s), used to make sure each person is registered only once
A picture of the front of each person's CNIC or B-Form, which the TAAKRA team checks by hand against the number entered (not needed for UCP students, who are confirmed by their registration number)
If an organisation is given, a picture of the person's student card or the card their organisation issued, which the TAAKRA team checks by hand (not needed for UCP students)
City, and your institute or organisation
For UCP student accounts, each person's UCP registration number, used to confirm they're a current UCP student and to make sure each student is registered only once. We check it against the list of currently enrolled students that the University of Central Punjab provides, and the name, email and gender on that record are used for the account and can't be changed here

01What we collect

Your password, stored only as a one-way hash that no one can read back

When you register and pay, we also keep the events and teams you entered, accommodation nights you chose, your invoices, and the payment proof you submit: payer name, bank, account or IBAN, transaction ID, date and the receipt file.

Ambassador applications also record the institute you represent and whether the TAAKRA team approved it.

02Why we use it

To run your account and sign you in
To register participants for events, check team sizes and capacity, and prevent duplicate entries
To identify participants at the venue and keep the event safe
To issue invoices, verify bank transfers and arrange accommodation
To contact you about your registration, schedule changes and results

We don't sell your data and we don't use it for advertising.

03Photos

Every uploaded photo is resized and re-encoded, which strips location and camera data. It's then checked automatically with Amazon Rekognition to make sure it shows exactly one real, clearly visible face and nothing inappropriate. Photos that fail are rejected and not kept.

Participant photos are private. Only the account that added the participant and authorised TAAKRA staff can see them.

CNIC, B-Form and organisation card pictures are resized and re-encoded the same way, but aren't sent to any automated check. They're stored privately, never shown on the website, and only the account that added the person and TAAKRA staff who verify registrations can open them. They're deleted with the participant or the account.

Approved campus ambassadors are listed on the public Ambassadors page with their name, email, institute and city. Their photo is shown there too unless the TAAKRA team hides it.

04Who can see your data

You, and whoever manages the account that added you (yourself, or your campus ambassador)
TAAKRA staff, limited by role: for example, only the finance team handles payments
Amazon Web Services, which hosts the site, database and files and runs the photo checks
Google reCAPTCHA, which checks the sign-in and sign-up forms for bots using information about your device and browser

We may share data with authorities when the law requires it.

05How we protect it

Data is sent over HTTPS, the database requires encrypted connections, and uploaded files are stored encrypted in a private bucket. Staff accounts have role-based access, and sensitive support actions are logged.

To stop abuse, we count sign-in, sign-up, upload and file requests against a scrambled (hashed) form of your IP address, email or account. These counters delete themselves within about an hour, and too many attempts in a short time are paused for a few minutes.

06How long we keep it

We keep account, registration and payment records for as long as they're needed to run TAAKRA and keep its financial records. After that we delete or anonymise them. You can ask us to delete your account sooner, unless we need a record for a payment or a dispute.

07Your choices

You can view and edit your details and your roster in the portal at any time. To get a copy of your data, correct something you can't edit, or delete your account, email us at taakra@ucp.edu.pk.

If you added other people, you're responsible for having their permission. They can contact us directly too.

08Participants under 18

TAAKRA is for university students. If someone under 18 takes part, a parent, guardian or their institute must agree to them sharing their details.

09Changes and contact
